Dr. Andrew Suess Medicine Professional Corporation o/a GTA Circumcision (the “Clinic,” “we,” “us,” or “our”) is committed to protecting the privacy, confidentiality, and security of personal information and personal health information collected by us.

The Clinic is operated by a licensed Ontario physician and provides medical circumcision services and brit milah circumcisions in Ontario.

This Privacy Policy explains how we collect, use, disclose, store, and protect personal information and personal health information in connection with our website and the provision of clinical care.

This Privacy Policy applies to:

  • Information collected through our website; and
  • Information collected once an individual contacts the Clinic to arrange or receive care, whether by telephone, secure digital forms, or other clinical communications.

When booking an appointment online, individuals may be asked to provide personal information and limited personal health information necessary to facilitate scheduling, identification, and eligibility for care. This may include name, contact information, date of birth, and health card number.

More detailed personal health information is not collected through the website booking process and is obtained only after an appointment is scheduled through secure OceanMD clinical intake forms in connection with the provision of care.

4. Information Collected Outside the Website (Clinical Intake and Care)

Once an individual contacts the Clinic to arrange or receive care, additional information may be collected for clinical, administrative, and legal purposes

(a) Administrative and Appointment-Related Information

We may collect administrative information necessary to:

  • Schedule and manage appointments
  • Communicate with patients or parents/guardians
  • Coordinate care

(b) Personal Health Information

Personal health information is collected only through secure clinical systems and not through the website or general email communications. This includes information collected for:

  • Clinical intake
  • Medical history
  • Informed consent
  • Treatment and follow-up care
  • Clinical documentation and record-keeping

5. Digital Intake Forms, Appointment Booking, and Electronic Medical Records

The Clinic uses OceanMD for secure online appointment booking and digital intake and clinical forms. These systems interface with the OSCAR Pro electronic medical record (EMR) system.

Online appointment booking through OceanMD collects personal information and limited personal health information necessary to facilitate scheduling, identification, and eligibility for care. This may include name, gender, contact information, date of birth, and health card number.

More detailed personal health information is collected only after an appointment is scheduled and is obtained through secure OceanMD clinical intake forms in connection with the provision of care.

The OceanMD and OSCAR Pro EMR are maintained through the account of SGA Healthcare Ltd. o/a Atkinson Medical Centre, the medical centre where the Clinic rents space and uses administrative support.

Access to personal information and personal health information within these systems is limited to:

  • the treating physician; and
  • authorized clinical and administrative staff involved in the provision of care.

While the Clinic uses secure, industry-standard systems for electronic appointment booking, intake forms, and communications, no method of electronic transmission or storage is completely risk-free. By choosing to communicate with the Clinic electronically or to submit information through online forms, individuals acknowledge and accept the inherent risks associated with electronic communications. The Clinic takes reasonable steps to mitigate these risks through the use of secure platforms and safeguards, in accordance with applicable privacy legislation.

All access to and use of personal health information is subject to confidentiality obligations and applicable privacy laws, including PHIPA.

6. Online Payments

The website includes an option to pre-pay for services online. Online payments are processed using Square, a third-party payment processor.

Payment information may be processed or stored outside of Canada for the purpose of completing the transaction. The Clinic does not store full credit card information on its own systems.

7. Use of Information

We use personal information and personal health information to:

  • Respond to inquiries
  • Schedule and manage appointments
  • Provide medical and traditional circumcision services
  • Communicate with patients and families
  • Process payments
  • Maintain accurate clinical records
  • Comply with legal, regulatory, and professional obligations

We do not sell personal information or personal health information.

8. Disclosure of Information

We may disclose personal information and personal health information:

  • With consent
  • To healthcare professionals involved in care
  • To service providers supporting clinic operations (including EMR, intake, and payment systems)
  • To other healthcare providers, including specialists or hospitals, where referral or consultation is in our opinion required for the provision of care or continuity of care.

  • To comply with professional, regulatory, or legal obligations Personal health information is disclosed only in accordance with PHIPA.

We take reasonable administrative, technical, and physical safeguards to protect information, including:

  • Use of secure, industry-standard clinical systems
  • Access controls and role-based permissions
  • Limiting access to authorized individuals only

While no system can guarantee absolute security, we take privacy protection seriously and regularly review our practices.

Personal information and personal health information are retained in accordance with:

  • Applicable legal and regulatory requirements
  • College of Physicians and Surgeons of Ontario (CPSO) standards
  • Clinical and operational needs
